Rentals Coordinator Services

As part of your Wooden Room or Harvest Room rental you will receive a 1 hour consultation with our Rental Services Coordinator, Yana, prior to your event to go over all the details. You are welcome to email any questions, ask for pictures, measurements or vendor suggestions.

 

Yana will be on site at no additional cost to you for the entirety of your event.

She will manage any Site Assistants hired for you. Yana will work with your event coordinator if you have one. We want to make sure you have a good rental experience and can look back on it with a smile!

 

Please note : If you require Site Assistants they will be hired by Yana but they are paid directly by the renter separate from the rental fee. The payment is due the day of the event or within 24 hours after the event has taken place.

Additional services you may wish to add for a fee

  • Bartending

  • Setup & teardown assistants (renters are responsible for setup and teardown)

  • Food service & serving

  • Dishwashing

  • Garbage removal (all rentals must remove their own garbage & recycling at the end of the event)

Catering

You are welcome to bring your own food for the event, hire a caterer or a food truck. Please note, any caterer you hire must be from the Annapolis Valley (Annapolis, Kings or Hants County). This is a requirement in order for the Wolfville Farmers’ Market to meet its leasehold agreement with Acadia University.

 

We can offer suggestions and put you in contact with catering providers if requested. We also have many wonderful food vendors at our Saturday Market. It is a great way to sample various options before booking!

Alcohol

If you wish to serve alcohol at your event, you will require a Special Occasion Liquor License from the Alcohol and Gaming Division of Service Nova Scotia. Please visit https://beta.novascotia.ca/special-occasion-liquor-licence-class-1-2-and-3 to complete your application. You are welcome to bring your own selection of alcohol. You can also choose open or cash bar. 

Liquor license is to be sent to our Rentals Coordinator 30 days prior to your event. 

Deposit

For parties renting the Wooden Room, a pre-booking deposit of $500 is due with signed the contract.

For parties renting the Harvest Room, a pre-booking deposit of $200 is due with signed the contract.

For parties renting the Community Event or Meeting Rooms a pre-booking deposit of $50 is due with signing the contract. It goes towards the rental fee.

For Wooden Room and Harvest Room only:

The deposit is not deducted from the final payment and acts as a damage deposit. Damage will be assessed within 7 business days of the event. The deposit will be released by cheque or direct deposit if no damage or extra cleaning is required. The Renter will be responsible for any damage done to the grounds and property during the event, or if waste/ recyclables/ compost is left behind. If a site assistant is hired but not paid within 7 business days after the event, their pay will come out of the deposit before it is returned to the renter.

If the full payment is not completed at the designated time, or WFM is not able to process the payment due to non-sufficient funds, the renter forfeits their event deposit and reserved date.

Cancellation Policy

For parties renting the Wooden Room or Harvest Room, our cancellation policy is as follows:

  • If a renter cancels 120 days or more prior to their event, they will receive 50% of their pre-reservation deposit back within two weeks of cancellation.

  • If a renter cancels their event less than 120 days prior to their event, they will not be reimbursed for their pre-reservation deposit.

 

The Community Event and Meeting Room rentals deposits are non-refundable if the event is cancelled.

Prohibited

The Market does not allow illegal activity, open flame candles, drinking games, or sports like activities in the building.

Forms of Payment

Currently the Wolfville Farmers’ Market accepts cash, cheque, and electronic funds transfer.

Garbage Removal

It is your responsibility to remove all garbage at the end of your event. If however you would like it taken care of on your behalf, for an additional fee our Rental Services Coordinator can arrange a service based on your needs.

Parking

Parking is available at the West side of the building & by the Library on Elm Ave. During the day these spots may be taken by other local businesses. The easiest time to park is during evenings (5:00 pm-7:00 am) and weekends. Please speak with our Rental Services Coordinator to discuss your parking needs so that we may offer advice.
